OPTRS/PPS Users

Due to nightly batch processing changes it is necessary to change the availability of the PPS/OPTRS Region.  Please note the new hours below will be effective beginning September 8, 2009.  Additionally, please note that the online rosters are now available 1 day earlier for your time entry.  As a result, 2 rosters are open on the final day of input for the SM and MO cycles.  Please verify the roster you are using is for the appropriate cycle.

Q:  The e-mail addresses on the PAN notification screen are not complete.   What should I do?

A:  There was a problem on Tuesday, 8/11 but it has now been resolved.  Unfortunately, PAN e-mails for transactions entered Tuesday before this issue was resolved were not able to be delivered due to the incomplete e-mail address.


Q:  Can I use my old version of HostExplorer for Windows?

A:  No.  Please use the latest version of Hummingbird's HostExplorer available from Software Central.   After downloading and installing the latest version, be sure to follow these set-up instructions.


Q:  Can I use HostExplorer on a Macintosh?

A:  No. Please use tn3270 for Macintosh available from Software Central.     After downloading and installing the latest version, be sure to follow these set-up instructions.


Q:  When I exit the system, a blue screen remains open.  How do I automatically close the blue screen?

A:  Here are the steps:

Q:  After the migration, my 10-key numeric pad no longer works.  What do I do?

A:   With the migration of PPS to UCOP, some of your previous settings might have been reset to their original state. One of the most noticeable property resets was the disabling of the 10-key pad (NumLock) for PC users. Below are the steps that would need to be completed in order to enable the use of your 10-key pad.

Dear PPS/OPTRS customers,

As previously announced, you should receive two emails today (8/4/2009) with instructions regarding our PPS system migration to Office of the Presidents mainframe. 

One email contains your new OPTRS/PPS User ID to be used starting next Tuesday, August 11th.
This email is called: Your New PPS/OPTRS User ID

A second email contains your Temporary Password, again to be used starting next Tuesday, August 11th.

If you did not receive either or both emails, please check your junk/spam folders using the above information.

If, after checking your inbox/junk/spam folders, you do not find either your username or password, please contact:
IST Data Center at 642-3043.

Important Note:
Please remember that beginning Tuesday, August 11th you will need to change your HostExplorer settings and use your new User ID and Password to access the PPS system that will reside on the UCOP mainframe.  
Please use these instructions to properly configure HostExplorer.

IMPORTANT DATES TO REMEMBER:

Tuesday, Aug 4 : New UCOP User Names, Passwords and Host Explorer Setting emailed to all PPS/OPTRS users.
Thursday, Aug 6 : Last day to input/correct xx pay at UCB.
Friday, August 7: system goes down at 5PM and it’s the last day to input using UCB logon and password
Monday, August 10, system opens for Inquiry only using UCB logon and password
Tuesday, August 11, System opens at UCOP; new HostExplorer, logon and passwords required

OPTRS , HRMS Users and Computer Support Personnel,

We are notifying you that we will be pushing back the migration of the PPS system from UCB over to Office of the President (UCOP) until August.  During system testing we found anomalies between the two systems and feel that it warrants more testing before we turn the processing over to UCOP.

No setting changes for HostExplorer or tn3270 are required at this time to access the PPS system.

Thank you for being patient during this process. We will keep you updated with our progress.  As such,  you will receive your new log on and password closer to the anticipated August system migration.

Q:  How do I connect to UCOP's mainframe?  How do I set-up HostExplorer?

A:   You need to have received your new User ID and new temporary password.  Once you have received both, please follow these instructions.


Q: I am an employee, does this affect me?

A: No. The migration of the mainframe affects only departmental users of the OPTRS and PPS Systems.


Q:  If a new person needs access to PPS can that still be processed or is there a hold on new id's until the migration is completed?

A:  There is not a hold.  The process has not changed and new id's can be established.  When the migration happens the new person will receive a UserID for the UCOP-hosted PPS system at the same time all OPTRS/PPS users receive their new login IDs and HostExplorer configuration instructions.


Q: I have not received my new UserID and New Password. Have they been sent?

A: UserIDs and Passwords were sent in separate emails to all OPTRS/PPS users on 8/4/09.  If you did not receive, first check your SPAM/JUNK folders for two emails from ASDCTM@ironwood.berkeley.EDU.   If you have confirmed that you have not received either email, please contact the IST Data Center at: 510.642.3043


Q: I am an OPTRS user, how does this migration affect me?

A: The move from the Berkeley mainframe to the UCOP (U.C. Office of the President) mainframe will require that OPTRS Users:

A) Use a new UserID and new Password to access the same PPS system housed at the new UCOP mainframe location.

A new user ID and temporary Password will be emailed to all OPTRS users before the migration. Please watch for important announcments pertaining to issuance. This page will be updated when the new UserIDs and new Passwords have been sent.

B) Change the settings of their HostExplorer so as to connect to the new mainframe at UCOP. Configuration instructions sent with new UserIDs and new Passwords.


Q: New UserIDs and Passwords have been sent, but I have not received mine.

A: First, Check your INBOX/SPAM/JUNK folder for two emails from  ASDCTM@ironwood.berkeley.EDU.   If you have not received, please contact IST Data Center at 642-3043.


Q: After the migration, will my screen look different?

A: No. The look, feel, and function of PPS will remain the same.



Q: After the migration, how will I print?

A: You will continue to print as you always have printed.



Q: Will PageCenter change because of the move?

A:  Your PageCenter logon ID, passphrase and logon screen will continue to operate as before using your CalNet ID.  However all pagesets generated by PPS jobs running at UCOP will be named differently than pagesets generated by PPS jobs running at UCB.  For pagesets generated by PPS jobs running at UCOP the pageset name will be the same as the report ID, e.g., PPP5302.


Q: If I have access to a CICS region for testing will I continue to have access?
A: No. You will have to work through Central Payroll for testing.


Q: Is the new system going to force a password change before using the id for the first time?

A: Yes, the initial passwords we send you will be good one time only and an immediate change will be required.


Q: What is the password-character set for the users?

A: When you change your password, you can use letters, numbers and @ # $.   The system currently doesn’t recognize lower-case letters yet, but it’s in the works.

 


Q: Once the passwords are established, can the I reset their password myself or will I have to contact an account administrator?

A: You may change the password as often as you like. If the password is revoked – either by more than 5 invalid attempts or the account is not used for 60 days, you will need to contact IST Data Center at 642-3043.


Q: Does the system keep a password history?

A: Yes.  The system keeps your last 6 passwords. 

 


Q: Do you force a periodic password change?

A: Yes, every 180 days a password change is required.
